The Inbox and agent access
You decide how much agents may do. The rest waits for you in the Inbox.
Agent access decides how much an agent may change on its own, at a level from 1 to 5. A change the level does not allow is not lost: it waits in the board's Inbox as a suggestion, and you decide.
The five levels
- Read only: agents can read, not change anything.
- Suggest: every change waits in the Inbox for you.
- Capture: agents add notes, ideas and comments, checklist items and new boards. Other changes wait in the Inbox.
- Act: agents work on items and lists. Completing, archiving and moving to a done list wait in the Inbox.
- Full: agents change anything they can, and every change is logged.
Levels 4 and 5 are part of Pro (see Pricing). On Free, a board set to level 4 or 5 works as level 3 until you upgrade, and agents are told why.
New accounts start at level 3. Agents never delete your items, lists, boards, comments or files. Items, lists and boards are archived instead, and you can bring them back. At level 5 an agent can delete a label that no item uses, and remove a checklist item it added itself. Agents never change levels, instructions, share links, email addresses or tokens.
Set the level
- For your account: open Settings, then Agents, and pick a level under Default agent access. It saves at once.
- For one board: choose Agent access in the board's ⋯ menu. The menu shows the board's level under it, so you can check it without opening anything. When your plan limits that level, the menu says so, as in Full (5), limited to 3. Pick a level, or Use account setting to follow your account. The same window holds the board's Instructions for agents.
A change counts from the agent's next request.
The Inbox
When suggestions wait, an Inbox column shows on the left of the board. Each suggestion says what the agent wants to do and why. Choose Accept, Pick another list to put it somewhere else, or Reject. When you reject, you can leave a note for the agent.
With two or more waiting, the column's header has Accept all and Reject all. The same suggestions also show in For you, with your other boards'. Suggestions expire after 30 days.
An agent that sorts an item from a space's Unsorted below level 4 sends a proposal here too, which says it wants to sort the item from Unsorted into a list. Accepting it puts the item on the board and takes it out of Unsorted. See Unsorted.
Who did what, and undo
History, in the board's ⋯ menu, lists every change on the board, newest first, with who made it. It starts with a short summary, such as "Since your last visit: 14 changes, Claude made 11", and you can show only one person or agent. An item's History tab says the same per item. You can Undo a change an agent made for 30 days.
