Guests on a board
Invite a client or freelancer to one board, to view, comment or edit.
On Pro you can invite guests to a board: a client who should see how the work is going, or a freelancer who helps for a while. A guest sees that one board and nothing else of yours, and does not need a paid seat.
Invite a guest
- Open the board and choose Share.
- Under Guests, type the person's email address and pick a role.
- Optional: set Access until to end the access on a date. The guest gets an email 7 days before.
- Choose Invite. Listspace emails the invite.
A board can have up to 10 guests, invites included. The guest needs a free Listspace account with the invited email address. Someone without an account can make one from the invite, even while Listspace is invite-only.
Roles
- View: sees the board and its items, comments and files.
- Comment: sees everything, adds comments and ticks checklist items, without changing their text. Nothing else.
- Edit: adds, changes and moves items and lists, checklists and labels you already use on the board, and adds files.
No guest can delete or archive the board, change its sharing or its agent level, use its Inbox or invite anyone. A guest with Edit archives instead of deleting.
Change or remove a guest
In Share, change a guest's role or end date at any time. Send again emails a new invite link to someone who has not joined yet; the old link stops working. The cross removes a guest at once. What a guest added stays on your board.
The faces next to the board's title show who is on the board.
For the guest
The board shows under Shared with you on your dashboard. A line under the board's title says your role, the end date and whose board it is. Leave board removes you from it.
Files on the board open as they do for the owner, and they count against the owner's storage.
If there is an issue with the owner's account, the board shows as not available until it is resolved, here and under Shared with you. Nothing on it is lost.
Agents of a guest
A guest's own apps and AI assistants see the board too. They work within the guest's role and the board's freedom level, never more: with View they only read, with Comment they only comment and tick checklist items. A change that the level would send to the Inbox is refused instead, because the Inbox is the owner's.
When the owner deletes the account
The boards go with the account, so their guests lose access. Before you delete your account, Settings, Danger zone says how many guests on how many boards that is. Each guest gets a short email that the board is no longer available.
When Pro ends
If the owner's Pro ends, guests keep View only, until Pro is back or the owner removes them. Nothing is deleted. The owner's Share window says so, and so does a quiet line on the guest's board.
