Items and documents

Items are tasks, ideas and notes. Documents are longer texts with versions.

Everything in a list is an item or a document. Both open in the same window.

Add one

Choose Add at the bottom of a list, then:

  • Item: a task, idea or note, with checklists, labels and dates.
  • Document: a longer text with versions, like a spec or a decision.

Type a title and press Enter. You can turn an item into a document later, and back, with the document button at the bottom of its window (Make it a document, or Make it an item to go back).

What an item holds

Click an item to open it. Its window has tabs:

  • Details: the title, a start date, a due date with a time, and a description with headings, lists, tables, code and images.
  • Attachments, Checklists, Labels and Comments.
  • History: every change, and who made it, you or an agent.

Documents and versions

A document keeps a version each time it is saved, up to its latest 200. In the History tab you can View an old version, Compare two of them, or Restore one. Restoring saves it as a new version, so nothing is lost. The eye button (View read mode) shows the document with a table of contents made from its headings.

Move, copy and delete

The item window has Move and Copy, to any list on any of your boards. A copy gets the title, description, checklists and labels, not the files or comments. Delete removes the item for good.

Work on several items at once

Hover over an item and tick its checkbox. Shift-click another one to select everything in between. The bar at the bottom can then Move, Add label, Remove label, set a Due date, Archive or Delete them all. Archived items come back with View archived items in the board's ⋯ menu.
