Sub-items
Real items inside an item, each with its own dates and done tick.
A sub-item is an item inside another item. Unlike a checklist line, it has its own dates, done tick, description, labels and custom fields, and it gets its own bar on the timeline.
Add sub-items
Open an item and choose Add to item > Sub-item. Under the description and the checklists, Sub-items lists them with their tick, due date and person. Type in Add a sub-item and press Enter: the box stays open for the next one. Once there are sub-items, Add sub-item under them opens the box again. The heading says how many are done, such as 2 of 5.
Click a sub-item's title to open it in the same window. Sub-item of at the top takes you back to its parent.
Where they show
- Board: a sub-item stays inside its parent, not in the list. The parent's item shows a small 2/5.
- Table: sub-items sit indented under their parent. Click the arrow next to the parent to fold them away.
- Calendar: sub-items with dates show like any item.
- Timeline: sub-items sit indented under their parent. A parent without dates of its own shows a thin bar from the first start to the last due date of its sub-items. The critical path and baselines count sub-items too.
Change an item into a sub-item, and back
In the item's More menu, Make it a sub-item of... lets you pick the item it goes under. It moves into that item's list. On a sub-item, Turn into an item makes it an item of its own again, in the same list.
Sub-items are one level deep: a sub-item has no sub-items of its own, and an item with sub-items cannot become a sub-item. A sub-item is always on the same board as its parent.
Moving, copying and archiving
- Moving an item to another list or board takes its sub-items along.
- Moving a sub-item on its own to another list makes it an item of its own. Undo puts it back.
- Copying an item copies its sub-items too, except archived ones.
- Archiving an item archives its sub-items. Restoring it brings back the ones archived with it.
Imports and your AI
When you import a CSV from Asana, Jira or ClickUp, subtasks come as sub-items of their parent. A subtask whose parent is not in the file comes as an item, with the parent's name in its description. Pages inside a page of a Notion export come as sub-items too. Trello checklists stay checklists.
Your AI can make sub-items with create_item and parent_id, change the parent with update_item, and get_item lists an item's sub-items.
