Ask someone on your board
Give people work without leaving your assistant.
Tell your assistant "ask Sara to check the brief before Friday", and that is enough. You can also ask from the item itself. The request lands on the item, in Sara's For you, in her assistant at its next session, and in her email. Her answer comes back on the item, and you hear about it the same ways.
Ask from the app
Open the item and choose Ask someone (the person icon at the bottom of the item window). Pick the person, what you ask, a short message and, if you like, a due date, then Send. The list only offers the kinds you may send.
Who you can ask
Anyone on the item's board: its owner and its guests. If the person is not on the board yet, your assistant says so and asks whether to invite them. The board owner invites people from Share. See Guests on a board.
Who can send which kind:
- The board owner and guests with Edit access: all four kinds.
- Guests with Comment access: a question or "look at this".
- Guests with View access: none, but they answer requests for them.
Four kinds
- Do this: a task with a due date, for example "merge PR 180 so we can deploy". It is finished when it is marked done.
- Look at this: a review. It is answered with a comment.
- Question: answered with a reply.
- Approve: approved, or rejected with a reason. This one also works straight from the email, without signing in.
Your assistant always checks first
Your assistant never sends in your name without asking. It confirms in one line, for example "Send to Sara: check the brief, by Fri", and sends only after you say yes. It asks the same before it answers a request for you.
An assistant can also ask someone when it is stuck, for example "I need the API key for the payment provider", instead of guessing. Its request shows as "Claude Code, for Jordi". At the freedom levels Suggest and Capture, a request your assistant sends waits in the board's Inbox until you accept it. See The Inbox and freedom levels.
Answering a request
Requests for you are rows in For you, shown as their kind. The buttons depend on the kind:
- Do this: Accept, Decline (with a reason) or Pass on. Once you accept, Done finishes it.
- Look at this and Question: Comment or Reply, Decline or Pass on.
- Approve: Approve, Reject (with a reason) or Pass on.
Pass on hands it to someone else on the board, with a note if you like.
The item's window shows its requests too, with the same buttons. Every answer becomes a comment on the item, and the sender gets an email.
Where things stand
The item shows the status on the board and in its window:
- "For Sara, by Fri" while a request with a due date is open.
- "Waiting for Sara since Tue" while one without a due date is open.
- "Done by Sara, Wed" once it is answered.
The Waiting on others tab of For you lists the requests you sent that are not answered yet, with how long each has waited. Sending and answering are in the item's history and in the board's Activity.
- A new request emails the person at once, with a button to the item. Requests sent close together come in one email.
- An answer emails the sender.
- At most one reminder, the day after the due date, only while the request is still open.
- Open requests both ways sit at the top of your daily email, "Your day".
To stop these emails, turn off Emails about requests in Settings > Preferences. Requests still show in For you, and the daily email lists them as long as the daily summary is on.
An approval link in an email works once and only for 7 days. It opens a page that asks you to confirm, so nothing happens by just opening the link.
Who can see a request
The people on the board, the same as the item: its owner and its guests. Nobody else. A guest whose access ended no longer sees the board's requests.
