Board templates for sales, clients, your work and your week

Start a board with its lists already in place. Each template also tells your AI agent how to keep the board up to date, so Claude or ChatGPT knows where a new lead, bug or idea goes and what to ask you first.

Projects and agents

Boards an AI agent keeps up to date while it works on a project with you.

  • Project (for agents)

A project board an AI agent keeps up to date: project info, docs, ideas, bugs, a roadmap, and to do, doing and done.

What your agent does: Capture ideas and bugs freely. Put work you will do next in To do, move it to Doing while you work on it and to Done when it is finished. Record decisions in Project info.

  • Ops (private)

A private board for how a project runs: workflow, servers and services, decisions, agent rules, and to do, doing and done.

What your agent does: This board is private: keep it that way and never share it. It holds the internal details of a project whose main board may be shared. Workflow: how work gets done, tested and shipped.

Sales and hiring

Follow deals and candidates from the first contact to a decision.

  • CRM

Every lead and deal as an item, moved from first contact to won or lost, with the next step as a due date.

What your agent does: One item per deal. Keep the first lines of the description as Company, Contact, Value and Next step, one per line, and set the due date to the date of the next step.

  • Sales funnel

Deals by stage, each stage with its chance of closing, for a quick view of what the pipeline is worth.

What your agent does: One item per deal, in the list for its stage; the percentage in the list name is the chance it closes.

  • Hiring pipeline

Candidates from application to hire, one item per person, with interview dates as due dates.

What your agent does: One item per candidate. Keep Role, Source and Next step on the first lines of the description and the next interview as the due date. Add interview notes as comments, facts only.

Content and clients

Plan what you publish and run client work from brief to done.

  • Content calendar

Posts, articles and videos from idea to published, with the publish date as the due date.

What your agent does: One item per piece of content, labelled with its channel, with the publish date as the due date. Add new ideas to Ideas.

    Use template
  • Client project

One board per client job: the brief, the work, what waits for the client, and what is done.

What your agent does: Read the Brief list before you start. Break the brief into items in To do, with due dates where the client gave dates.

Professions

Boards shaped for lawyers, bookkeepers, event planners, trainers and creative work.

  • Legal matter

One board per matter: intake, research, drafting, review, filing and every deadline, with each change approved by you.

What your agent does: Send every change on this board to the Inbox (inbox: true) with a short reason, even when your level would let it apply: a lawyer approves each one.

    Use template
  • Bookkeeping client

One board per client: monthly and quarterly work with due dates, documents you are waiting for, and what is done.

What your agent does: Each piece of recurring work is one item with its due date, named with its period, for example "VAT return Q3". When an item is finished, add the item for the next period with its new due date.

    Use template
  • Event plan

Plan an event from the first idea to the day itself: details, bookings, tasks and a run sheet.

What your agent does: Keep the event facts (date, place, budget, guest count) in Event details and check new work against them.

    Use template
  • Course or training

Build a course or workshop: the outline, lessons from plan to ready, materials and feedback.

What your agent does: Follow the goals and order in Course outline. One item per lesson; write each lesson plan as a document and update that document instead of making a new one.

    Use template
  • Release or shoot

A creative project, such as a record, a photo shoot or a video: the brief, the shot list, gear and delivery.

What your agent does: Read the Brief first. Turn it into items in Shot list, one per shot, track or scene, with a checklist for the details, and due dates where the brief gives them.

Product

A roadmap, bugs to sort and feedback from the people who use your product.

  • Product roadmap

What you work on now, next and later, and what has shipped, with ideas collected along the way.

What your agent does: One item per feature or change. Add new ideas to Ideas. Do not reorder Later, Next or Now on your own: suggest it. Move an item to Now while it is being built and ask before moving it to Shipped.

    Use template
  • Bug triage

Bug reports sorted by how bad they are, from new to fixed, each with steps to reproduce.

What your agent does: One item per bug, with Steps, Expected, Actual and Version on the first lines of the description. Add new reports to New.

    Use template
  • Feedback inbox

Collect what users tell you in one place, sort it, and keep track of what you answered.

What your agent does: One item per piece of feedback in New, with the person's own words quoted and where it came from. Label it Bug, Idea, Praise or Question.

Meetings

An agenda, the decisions made and the actions that follow.

  • Meeting notes

Run a recurring meeting: the agenda, decisions kept as documents, and actions with an owner and a date.

What your agent does: Add agenda points to Agenda. Record each decision as a document in Decisions, titled with the date and the subject, with what was decided, why and who was there; update that document instead of making a new one.

    Use template

Personal

Everyday lists your assistant can keep for you.

  • Reading list

Books and articles to read, what you are reading now, and notes on what you finished.

What your agent does: One item per book or article, titled with the title and the author. Add a link where there is one. Add new finds to To read and check for a duplicate first.

    Use template
  • Trip

Plan a trip: ideas, what to book, what is booked, a packing list and the day-by-day plan.

What your agent does: Add ideas to Ideas with a link where there is one. Everything that needs booking goes in To book with the date it is needed as the due date; when it is booked, note the confirmation number and move it to Booked.

    Use template
  • Groceries

A shopping list your assistant can add to: what to buy, the things you always need, and what is in the basket.

What your agent does: One item per product in To buy, with the amount in the title, for example "Milk (2)". Check To buy for the product first and change the amount instead of adding it twice.

    Use template
  • Gift ideas

Gift ideas per person, collected through the year, with birthdays and holidays as due dates.

What your agent does: One item per gift idea, titled with the person's name first, for example "Anna: a pottery class". Set the due date to the occasion. Add a link and a price where there is one.

    Use template

Values, contacts and dates

Listspace has no custom fields yet. Templates that need them say what to write on the first lines of an item, one per line, for example "Value: 1,200 EUR" and "Next step: send the quote". Dates go in the due date, so they show in the calendar view and in your calendar feed.
