Custom fields
Your own fields on items, such as Stage, Value or Close date.
A board can have its own fields, such as Stage, Value or Close date. Every item on the board then has a place for each one.
Add a field
Open the board's ... menu, choose Board settings and then Edit next to Fields. Click Add field, give it a name and pick a type:
- Text, Web link, Email or Phone
- Number: a plain number, Money in a currency, or Percent
- Date
- Single choice or Multi choice, with your own choices and colors
- Checkbox
- Person: someone on the board
A field's type cannot change later. To use another type, delete the field and add a new one.
Fill it in on an item
Open an item: the fields with a value, and those set to Show on items, sit under the labels and dates. To fill in another one, choose Add to item and pick the field. Click a field to set its value. New field... in the same menu opens the Fields window, to add a field to the board.
On the board, in the table and in the calendar
Each field in the Fields window has a ... menu:
- Show on items puts the value on the items on the board, for up to 3 fields. An empty value stays hidden.
- Show in calendar, for a date field, puts its dates in the board's calendar view.
The table view has a column for each field. Click a column header to sort by it, and number columns get a total row. To hide or show a column, use the table's ... menu. Under Filter, the Fields section shows only the items with a choice, a person, a range of numbers or dates, some text, or an empty field.
Copy fields and templates
In the Fields window, Copy from another board copies the fields and their choices of one of your other boards, not the values. A field the board already has stays as it is.
Copying an item or a list keeps the field values. On another board an item keeps the values of the fields that board has too, with the same name and type (and for a choice, a choice with the same name).
Some templates come with fields: the CRM has Stage, Value and Contact email, the Sales funnel Stage, Value and Chance, and the Hiring pipeline Role, Email and Interview date. Save as template keeps a board's fields. A Trello import brings Trello's custom fields along too, and a Notion import makes fields of a database's properties.
Your AI and fields
Your AI reads the fields and sets values on items, the same way you do. At a lower agent access level, the change waits in the board's Inbox. See Inbox and agent access.
To have your AI fill a field for you, give it fill instructions: in the field's ... menu, choose Fill instructions for agents and write what to do, such as "Set from the latest call notes". Then ask your AI to fill the board's fields. It finds the items where the field is empty or out of date and sets the values from your instructions. Listspace has no AI of its own: the work is done by the AI you connected. In the Inbox, each value shows next to the one it replaces, and on the item a small robot mark shows which values an AI set.
How many fields
On Free, a board has up to 3 fields. Pro allows up to 50 per board. See Pro and billing.
