Listspace for accountants and bookkeepers

Connect Claude or ChatGPT to Listspace and keep your clients on boards: the monthly and quarterly work, every filing deadline, and the documents you are still waiting for. Your AI keeps the boards up to date while you work and tells you what is due. What you have not allowed waits in the board's Inbox for your OK.

Your AI app does remember things. But that memory lives inside one app, you cannot easily see or correct it, and it does not know what still holds and what was replaced. A board keeps the state of each client where you, and every AI you connect, can see it.

Client data, with your approval first

  • Your boards and files are stored in the EU, on every plan, Free included.
  • Emails from Listspace, such as the daily summary, are sent through MXroute from a server in the United States. The sub-processors page lists every provider.
  • Listspace never uses your data to train AI models, and runs no AI models itself.
  • Business customers can sign a Data Processing Agreement under Article 28 GDPR.
  • Set Agent access on a board to Suggest, and every change an AI wants to make waits in the board's Inbox until you approve it.
  • History shows every change and who made it, you or which AI, and you can undo an AI's change there.
  • The AI you connect reads what you allow it, under its own maker's terms, which Listspace does not control. Check those terms, and the rules of your profession, before a board holds client details.
  • Never put passwords, bank logins or full account numbers on a board. The templates tell your AI the same.
  • Turn on two-step sign-in with an authenticator app in Settings.

What your AI does

  • Adds the item for the next period, with its new due date, when you finish one. Listspace has no repeating items yet, so this is how recurring work comes back.
  • Keeps a checklist of the documents still to come from a client, and ticks each one off when you say it arrived.
  • Drafts a reminder about missing receipts for you to send.
  • Answers "which returns are due this month, and what is missing?" from your boards.

Things to ask your AI

Once Listspace is connected, type these in Claude, ChatGPT or any AI app you connect. The names are examples.

  • Make a board for my client Jansen from the Bookkeeping client template, with the VAT returns for 2026

Questions

Can my AI file returns or make payments?

Not through Listspace. Listspace holds boards, lists and items, and has no connection to tax portals or bank accounts. The Tax returns template tells your AI never to file anything and never to give tax advice.

Where are the files I attach stored?

In Cloudflare R2 in the EU, in a private bucket. A file opens only through a signed link that expires within 15 minutes, issued only to someone with access to that file.

Is there a Data Processing Agreement?

Yes. Business customers can sign the Data Processing Agreement under Article 28 GDPR. It is published on the Listspace site, with the email address to write to for signing.
